Position Overview

A professional services organization is seeking a Community Relations Specialist / Coordinator for a newly created front-office role. This position serves as the primary point of contact for residents, vendors, and visitors while acting as an internal gatekeeper to ensure inquiries are routed appropriately and do not escalate unnecessarily.

This role requires someone who is highly organized, detail-oriented, tech-savvy, and comfortable managing a high volume of communication. The ability to quickly learn and accurately reference community-specific rules and guidelines is critical, as each property operates differently.


Key Responsibilities

  • Serve as the first point of contact for residents, vendors, delivery personnel, and visitors
  • Greet walk-in visitors and manage front office activity
  • Answer and screen incoming phone calls (approximately 60 per day) and route appropriately
  • Manage a shared email inbox, triaging messages to the correct internal teams
  • Act as a buffer to minimize disruptions and prevent unnecessary escalations
  • Learn, organize, and reference governing documents and community rules
  • Draft clear, accurate written responses using community-specific documentation
  • Edit and manage PDF documents using Adobe Pro
  • Maintain well-organized digital and physical records

Required Skills & Qualifications

  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Proficiency with Outlook, Adobe Pro, and general computer functions (URLs, file management, PDF editing)
  • Strong customer service experience in a professional office setting (non-retail preferred)
  • Ability to remain calm and professional when handling sensitive or challenging interactions
  • Critical thinking and problem-solving abilities
  • Commitment to job stability (minimum one year preferred)

Compensation & Benefits

  • $24-$26/hour
  • Paid holidays including major federal holidays and additional designated office closures
  • PTO eligibility begins after approximately one year, with accrual increasing over time and annual payout for unused time (subject to company policy)

  • Role may transition to salaried in the future
  • Medical benefits are not currently offered
